Freels I.T. Solutions LLC (“MyVitalHome,” “we,” “us,” or “our”) respects your privacy and is committed to protecting the personal information associated with the MyVitalHome™ Partner Platform.
This Partner Privacy Policy explains how we collect, use, disclose, and protect information when you create or use a MyVitalHome Partner account, create or join a Partner Organization, purchase or distribute MyVitalHome gifts, interact with Partner Platform features, or otherwise use the MyVitalHome Partner Platform.
This Partner Privacy Policy applies specifically to the MyVitalHome Partner Platform. The separate MyVitalHome Privacy Policy applicable to homeowner accounts governs information collected when an individual creates or uses a MyVitalHome homeowner account.
By using the Partner Platform, you acknowledge the practices described in this Partner Privacy Policy.
1. Information We Collect
We may collect the following categories of information.
A. Partner Account Information
When you create or use a Partner account, we may collect information such as:
Name
Email address
Account credentials and authentication information
Partner type
Organization affiliation
Organization role or administrative status
Account status
Other information necessary to create and administer your Partner account
B. Partner Organization Information
When you create, join, or administer a Partner Organization, we may collect information such as:
Organization name
Organization type
Business or professional information provided through the Partner Platform
Organization branding or logos where supported
Organization membership and role information
Organization join-code and access information
Administrative information associated with the organization
Partners are responsible for ensuring they have the right to provide organization names, logos, and other business information submitted through the Partner Platform.
C. Gift Recipient Information
When a Partner issues a MyVitalHome gift, the Partner may provide information about the intended recipient, such as:
Recipient name
Recipient email address
Gift membership tier
Gift issuance information
Other limited information reasonably necessary to create, deliver, and administer the gift
This information may be provided to MyVitalHome by the Partner rather than directly by the recipient.
Partners are expected to provide recipient information only when they have a legitimate business or personal relationship with the recipient or another lawful basis for providing the information and sending the gift.
The Partner Platform is not intended to function as a general-purpose customer relationship management system, and Partners should not submit unnecessary sensitive information about recipients.
D. Gift Administration Information
We collect and maintain information necessary to administer Partner gifts, which may include:
Gift tier
Date issued
Redemption deadline
Gift delivery status
Redemption status
Date redeemed, where applicable
Gift token or other redemption identifiers
Partner or Partner Organization associated with the gift
Administrative history related to corrections, resends, reissues, expiration changes, or other gift-support actions
E. Purchase and Transaction Information
When a Partner purchases gift inventory, we may collect or maintain information such as:
Purchase amount
Gift tier and quantity purchased
Transaction date
Payment status
Transaction or checkout identifiers
Partner user who initiated the purchase
Partner Organization receiving the inventory
Refund, dispute, reversal, or chargeback information where applicable
Payment-card information may be collected and processed directly by our payment provider. MyVitalHome does not intend to store complete payment-card credentials when payment information is processed directly by that provider.
F. Communications
We may collect information when you contact us or interact with Partner Platform communications, including:
Support requests
Legal or privacy inquiries
Account-related communications
Organization invitations
Gift-delivery communications
Transactional emails
Security communications
Feedback you voluntarily provide
G. Technical and Usage Information
We and our service providers may automatically collect limited technical and usage information necessary to operate, secure, troubleshoot, and improve the Partner Platform, such as:
IP address
Browser or device information
Login activity
Pages or features accessed
Dates and timestamps
Error and diagnostic information
Cookies or similar technologies
Security and fraud-prevention information
2. How We Use Your Information
We may use Partner Platform information to:
Create and administer Partner accounts.
Create and manage Partner Organizations.
Authenticate users and protect accounts.
Manage organization roles and permissions.
Process gift-inventory purchases.
Issue and deliver MyVitalHome gifts.
Generate printable gift materials.
Track gift delivery, redemption, and expiration.
Correct, resend, reissue, or otherwise administer eligible gifts.
Provide Partner gift-management information and reporting.
Process transactions, refunds, disputes, and chargebacks.
Detect and prevent fraud, abuse, and security threats.
Provide customer support.
Respond to legal and privacy requests.
Maintain accounting, tax, transaction, and compliance records.
Send operational and transactional communications.
Improve and troubleshoot the Partner Platform.
Enforce our Partner Terms of Service.
Comply with applicable law.
Protect the rights, property, safety, and security of MyVitalHome, its users, Partners, gift recipients, and others.
We may also use aggregated or de-identified information for legitimate business purposes where that information does not reasonably identify an individual.
3. Partner Access to Gift Recipient Information
Authorized Partners may have access to limited information necessary to administer gifts they or their Partner Organization issue.
Depending on the Partner user's role and permissions, this may include:
Recipient information originally provided through the Partner Platform
Gift tier
Gift issuance date
Redemption deadline
Email delivery status
Whether a gift is awaiting redemption, redeemed, or expired
Organization Administrators may have broader visibility into organization-level gift administration than regular organization members.
This administrative visibility does not provide access to the recipient's private homeowner account.
4. Separation Between Partner and Homeowner Data
Purchasing or providing a MyVitalHome membership as a gift does not give a Partner or Partner Organization access to the recipient's private MyVitalHome homeowner information.
Partners do not receive access merely because they provided a gift to information such as:
Home profiles or private home information
Home address or other home details maintained in the homeowner account
Appliances
Maintenance schedules or maintenance activity
Service logs
Service contacts
Household-member information
Home Assistant conversations
Other private homeowner information
A Partner may be informed that a gift has been redeemed because that information is necessary to administer the Partner's gift inventory and gift activity.
Gift redemption does not constitute consent for MyVitalHome to provide the Partner with access to the recipient's homeowner account or ongoing homeowner activity.
MyVitalHome does not provide Partners with homeowner activity analytics merely because the Partner purchased or provided the homeowner's membership.
Once a recipient creates or uses a MyVitalHome homeowner account, information associated with that homeowner account is governed by the MyVitalHome Privacy Policy applicable to homeowner users.
5. How We Share Information
MyVitalHome does not sell Partner or gift-recipient personal information.
We may disclose information in the following circumstances.
A. Service Providers
We use third-party service providers to help operate the Partner Platform. These providers may process information as reasonably necessary to provide services to MyVitalHome.
Depending on the services in use, these providers may include:
Application hosting, database, authentication, and infrastructure providers
Payment processors
Email-delivery providers
Security, fraud-prevention, analytics, diagnostic, or technical-service providers
Other providers necessary to operate and support the Partner Platform
These providers receive information only as reasonably necessary for their applicable services and are subject to their own contractual, privacy, and security obligations.
B. Within a Partner Organization
Information associated with a Partner Organization may be available to other authorized organization users according to their roles and permissions.
For example, Organization Administrators may have access to organization membership, purchases, inventory, and gift-administration information necessary to administer the Partner Organization.
C. Legal and Safety Reasons
We may disclose information when we reasonably believe disclosure is necessary to:
Comply with applicable law, regulation, court order, subpoena, or legal process.
Respond to lawful government requests.
Protect the rights, property, or safety of MyVitalHome, our users, Partners, gift recipients, or others.
Investigate fraud, security incidents, abuse, or violations of our policies.
Establish, exercise, or defend legal claims.
D. Business Transfers
If Freels I.T. Solutions LLC or the MyVitalHome business is involved in a merger, acquisition, financing, reorganization, sale of assets, or similar business transaction, Partner Platform information may be transferred as part of that transaction.
Where appropriate or required by law, affected users will be provided notice.
6. Service Providers Used by the Partner Platform
The Partner Platform relies on third-party services to provide certain functionality.
These may include:
Anything — Application development, hosting, database, authentication, and related infrastructure used to operate the MyVitalHome application.
Stripe — Payment processing and related transaction services for Partner gift purchases.
Resend — Email-delivery infrastructure used for transactional, account, Partner, and gift-related communications.
Other service providers may be used for security, analytics, infrastructure, support, or other operational functions as the Partner Platform evolves.
Use of third-party services does not give Partners access to private homeowner information.
Third-party providers may maintain their own privacy policies describing how they process information in connection with their services.
7. Payments
Partner gift purchases may be processed through Stripe or another payment processor identified during checkout.
Payment providers may collect payment information directly from the Partner in accordance with their own privacy practices.
MyVitalHome may receive and retain transaction information necessary to administer purchases, including transaction identifiers, payment status, purchase amount, gift quantity and tier, refunds, disputes, and chargebacks.
MyVitalHome does not intend to store complete payment-card numbers or security codes when those credentials are collected and processed directly by the payment provider.
8. Email and Communications
We may send Partner users transactional and operational communications necessary to administer the Partner Platform, including:
Account verification
Password-reset communications
Organization invitations
Gift activity
Purchase receipts
Security notices
Important account notices
Material policy or service notices
Other operational communications
These communications are part of operating an active Partner account and generally cannot be disabled while maintaining the account where the communication is necessary to provide or secure the service.
We may separately send optional marketing, promotional, product-announcement, or educational communications. Where required or appropriate, those communications will include a way to unsubscribe.
Providing a gift recipient's email address for delivery of a MyVitalHome gift does not automatically enroll that recipient in MyVitalHome's general marketing communications.
If the recipient later creates a homeowner MyVitalHome account, communications associated with that account are governed by the applicable homeowner policies and communication choices.
9. Cookies and Similar Technologies
The Partner Platform and our service providers may use cookies and similar technologies for purposes such as:
Authentication and maintaining login sessions
Security and fraud prevention
Remembering necessary preferences
Measuring and troubleshooting Partner Platform performance
Understanding use of Partner Platform features
Improving the service
Some cookies or technologies may be essential to operation of the Partner Platform.
Where optional analytics, preference, or similar technologies are used, they may be managed according to applicable consent requirements and available controls.
Browser settings may also allow users to restrict certain cookies, although disabling essential cookies may prevent portions of the Partner Platform from functioning correctly.
10. Data Security
MyVitalHome uses third-party infrastructure and service providers to host, process, transmit, and safeguard information used by the Partner Platform.
We take reasonable administrative, technical, and organizational measures within our control to protect information from unauthorized access, use, alteration, or disclosure and select service providers appropriate to the functions they perform.
However, no Internet transmission, application, hosting environment, database, or electronic storage system can be guaranteed to be completely secure.
Partner users are responsible for maintaining the confidentiality of their credentials, using individual accounts rather than shared credentials, protecting organization join codes, and notifying MyVitalHome if they believe their account or organization access has been compromised.
If a security incident involving personal information occurs, MyVitalHome will provide notifications as required by applicable law.
11. Data Retention
Partner accounts are not automatically deleted solely because they have been inactive for a particular period unless MyVitalHome establishes a different policy in the future.
We retain Partner Platform information for as long as reasonably necessary to:
Provide the Partner Platform.
Maintain Partner accounts and organizations.
Administer gift inventory and outstanding gifts.
Honor redeemed memberships.
Maintain transaction and accounting records.
Prevent fraud and abuse.
Maintain security records.
Resolve disputes.
Enforce agreements.
Comply with applicable legal, tax, accounting, and regulatory obligations.
When Partner information is no longer reasonably necessary, we may delete or anonymize it.
12. Account and Organization Deletion
Partner users may delete their individual Partner profile where the Partner Platform permits or request deletion by contacting us.
Deleting an individual profile does not necessarily delete records belonging to a Partner Organization or information MyVitalHome reasonably needs to retain.
Only an authorized Organization Administrator may initiate permanent deletion of a multi-user Partner Organization through the applicable organization-deletion process.
Deletion of a Partner account or Partner Organization does not automatically delete a recipient's separate homeowner MyVitalHome account or cancel a legitimately redeemed MyVitalHome gift.
Following deletion, MyVitalHome may retain limited information reasonably necessary for:
Transaction and payment records
Accounting and tax requirements
Fraud prevention
Security
Dispute resolution
Legal or regulatory obligations
Administering previously issued gifts
Honoring redeemed memberships
Establishing, exercising, or defending legal claims
Retained information will be kept only as reasonably necessary for the applicable purpose or as required by law.
13. Unregistered Gift Recipients
A person may receive a MyVitalHome gift without having created a MyVitalHome account.
If an unregistered gift recipient asks MyVitalHome to delete personal information associated with an unredeemed gift, we will honor the request to the extent reasonably possible and required by applicable law.
We may delete or anonymize recipient-identifying information while retaining limited non-identifying or administrative gift records reasonably necessary for inventory accounting, fraud prevention, transaction records, security, or legal purposes.
Where necessary to fulfill a valid deletion request, an unredeemed gift may be invalidated.
Deleting or anonymizing recipient information does not restore the issued gift to the Partner's available inventory.
If the recipient has already created a homeowner MyVitalHome account, requests relating to that account are handled under the MyVitalHome Privacy Policy applicable to homeowner users.
14. Your Privacy Rights and Choices
Depending on your location and applicable law, you may have rights regarding personal information maintained by MyVitalHome.
You may be able to:
Access or request information about personal information associated with your Partner account.
Correct inaccurate Partner profile information.
Delete your Partner profile through available account functionality.
Request deletion of eligible personal information.
Unsubscribe from optional marketing communications.
Contact us with privacy questions or requests.
Certain information may not be deleted immediately or may need to be retained where reasonably necessary for transactions, outstanding gifts, accounting, fraud prevention, security, dispute resolution, or legal obligations.
To submit a privacy request, contact legal@myvitalhome.com.
We may need to verify your identity or authority before fulfilling certain requests.
15. Children's Privacy
The MyVitalHome Partner Platform is intended for adults.
Partner accounts may not knowingly be created by individuals under 18 years of age.
Partners should issue gifts only to recipients they reasonably believe are at least 18 years old. When providing a gift intended for a household or family, the gift should be addressed to an adult recipient.
We do not knowingly use the Partner Platform to collect personal information directly from children.
If you believe information about a child has been improperly submitted through the Partner Platform, contact legal@myvitalhome.com so we can review and take appropriate action.
16. Third-Party Links and Services
The Partner Platform may contain links to or integrate with third-party websites or services.
Third parties operate under their own terms and privacy policies. We encourage users to review the privacy practices of third-party services they interact with.
Where a third-party provider processes information on MyVitalHome's behalf, this section does not eliminate MyVitalHome's responsibilities regarding our own collection and use of personal information.
MyVitalHome is not responsible for the independent privacy practices or content of unrelated third-party websites that a user voluntarily visits.
17. Changes to This Partner Privacy Policy
We may update this Partner Privacy Policy from time to time to reflect changes in the Partner Platform, our practices, legal requirements, or service providers.
When we update this Partner Privacy Policy, we will revise the “Last Updated” date.
For material changes affecting how we collect, use, disclose, or retain personal information, we may provide additional notice through email, the Partner Platform, or other appropriate means where appropriate or required by law.
We encourage Partner users to review this Partner Privacy Policy periodically.
